Learn how to share your Pages, Numbers, or Keynote document when you finish it right from the app you created it in.
When you finish working on a document in Pages, sheet in Numbers, or slideshow in Keynote, you may want to share it with someone. You don’t necessarily want to collaborate with them, which involves a different how-to for working on the document together. But you want to send it to them as a finished product.
You have various ways to share documents directly from Pages, Numbers, and Keynote in their original format or something else like a PDF or Excel file.
Share documents from iWork apps on Mac
1) Open the document in Pages, Keynote, or Numbers app.
2) Click the Share button in the app’s top toolbar or click File > Share from the top menu bar.
After that, make sure it says “Send a Copy” (and not Collaborate) and select a sharing medium. You’ll see Mail, Messages, AirDrop, Notes, and more in your Mac’s share menu. Select one and follow along.
3) If you want to choose the format you’d like to send the document in, you will have to take a different route. With the document open, click File > Export To from the top menu bar and select a format.
- Pages: PDF, Word, EPUB, Plain Text, RTF, Images, Pages ’09.
- Numbers: PDF, Excel, CSV, TSV, Numbers ’09
- Keynote: PDF, PowerPoint, Movie, Animated GIF, Images, HTML, Keynote ’09
You will now see a sharing screen. If you change your mind about the format, you can select one by clicking from the top. Go through other options here as needed. After that, click Send a Copy and select an option from the tiny share sheet.
Share documents from iWork apps on iPhone and iPad
1) Open the document in Pages, Numbers, or Keynote on your iOS device.
2) Tap the share button and make sure it says “Send Copy” under the file name. Now, choose an option from the iOS Share Sheet and continue to complete the sharing process using the method you selected. This will share the document as-is in that app’s format.
3) If you want to share the document in a different file format, such as PDF, Word, or Excel, tap the three dots at the top and choose Export. Now, pick the file format you want to use and select your sharing method, like Messages, Mail, or AirDrop, from the iOS Share Sheet.
