Learn how to assign reminders to different people in a shared Reminders list on iPhone and iPad so everything gets done on time by the right individuals.
In addition to sharing reminder lists with others, such as your spouse, friend, or coworker, you can also assign specific tasks to an individual person.
This is excellent for those who work with others to complete tasks, to-dos, and projects of all sizes. For instance, if you have a shared list called House Chores, you can assign a few of its tasks to your spouse, a few to your child, and the rest to yourself.
Since you can only assign an item to someone you’re sharing the list with, here’s a quick reminder on how to share a list.
- Open the Reminders app and tap the list you want to share.
- Tap the Share button. You will see “Collaboration. People you invite can add others” on the iOS Share Sheet.
- Choose a method like Messages or Mail to send your sharing request.
- Continue with the prompts to invite your contact to that list per the sharing method you choose. Don’t forget to ask them to attend to that notification.
Assign a reminder
Once you share your list and those you share it with have access to the list, assigning is easy.
- Open the reminder list.
- Tap an existing task or create a new one. Now, tap the info button ⓘ next to a task.
- Tap Assign Reminder, select the person you want to assign it to, and tap Done.
Quick assign
There is another fast way to assign a reminder on iPhone and iPad. Tap the reminder name which will open your keyboard. Then, tap the Assign icon (person) and pick the assignee.
You can remove or reassign a reminder using this same shortcut. Choose a different person to reassign it to or deselect the assignee to remove the assignment completely.
Viewing assigned reminders
After you assign a reminder, you’ll see an indicator for that person next to the reminder. This is helpful for keeping track of which reminders you assign to who.
To see all reminders assigned to you, open the Reminders app and you’ll see the Smart List called Assigned or Assigned to Me.
Editing or removing an assignment
If you want to reassign a reminder or simply remove the assignment for it, you can use one of the options below in addition to the Quick Assign actions mentioned earlier.
Tap the assignee indicator next to the reminder and then pick from Reassign or Remove Assignment.
- Reassign lets you pick a different person.
- Remove Assignment does exactly that. You can also tap the info icon ⓘ for a task, tap Assign Reminder, and select None.
You can choose to get notified or not for new and completed reminders.
- Open a shared reminder list, tap the share or person icon from the top, and choose Manage Shared List.
- Now turn on or off the options under the Notify When section. Adding Reminders lets you choose if you’d like to receive an alert when an item is added to the shared list by someone. Completing Reminders allows you to get an alert when someone marks a task as complete.
